Job Title – Office & Communications Administrator

Contract Position to March 31, 2025

  • This position is an employment contract to March 31, 2025.
  • 21 to 25 hours per week; flexibility in hours/days, but within Monday-Friday 8:30 – 4:30; depending on client/office needs, hours may be added.
  • On site employment only; no work from home.
  • Expected start date on or about April 29, 2024.

The Small Business Centre is a not-for-profit organization dedicated to entrepreneurs in Belleville, Quinte West, Prince Edward County, Hastings County, and Lennox & Addington County. We are one of 52 SBEC’s (Small Business Enterprise Centres) funded in partnership by the Ministry of Economic Development, Job Creation and Trade.

The Small Business Centre strives to inspire entrepreneurs to launch and grow successful businesses within the mainstream economy in the region. Mainstream businesses account for 85% of Canada’s economy. We guide our clients to increase their chance of success and survival by providing advice, education, grants, and tools to incorporate into their business. By helping our clients be successful, we create economic wealth through job creation and retention.

We offer no-cost 1-on-1 professional advice, workshops, and other specialized services. We also administer the provincially funded entrepreneurship programs Summer Company grant and the Starter Company Plus grant.

Job Responsibilities:

The successful individual will have knowledge of marketing principles, digital media, office procedures, excellent organizational skills, and an ability to interact effectively with internal and external clients and staff. The responsibilities of this position primarily include, but are not limited to, working with Small Business Centre Manager on administration, various marketing and communications initiatives, development and content creation for workshops and events, and provide general business resources.

Administration Responsibilities

  • Act as of the first point of contact by answering telephones, greeting walk-in visitors, and replying to requests and engagement via email, social media, Eventbrite, etc.
  • Learn and direct customers to appropriate resources of various types in live time.
  • Follow up with emails, phone calls, and other inquiries!
  • Assist in administering and tracking progress for Summer Co and Starter Co. Plus grant programs.
  • Prepare various documents and reports as needed for community partners.
  • Contact past clients to follow up on various items.
  • Assist with administration as directed by the SBC Manager.
  • Maintain efficient records for monthly reporting to update board of directors.

Marketing Responsibilities

  • Create workshop content for future delivery.
  • Develop marketing campaigns, including drafting & editing marketing assets such as print materials and digital marketing content, and social media strategy.
  • Create content and deliver weekly e-newsletters and general communications.
  • Attend community events on behalf of SBC when necessary.
  • Using software such as Canva, Photoshop, Eventbrite, etc. create and market content for SBC resources, workshops, and other events.

Other Responsibilities

  • Provide start-up 1-on-1 business counselling with clients on basic inquiries.
  • Coordinate workshop ideas with local presenters on relevant content for the business community.
  • Work together as a team to ensure the smooth operation of the entire Bay of Quinte Business Centre offices.

We are looking for:

  • 3 plus years working experience in business or entrepreneurship setting.
  • Degree in Business/Marketing discipline or equivalent experience.
  • Excellent relationship building and customer service skills.
  • Excellent technical skills. knowledge of MS Office, Internet, and online software.
  • Demonstrated interpersonal skills and the ability to exercise good judgment and tact.
  • Ability to multi-task efficiently, work on several projects simultaneously under timelines and with minimal supervision.
  • Strong communication skills that apply online and in person with clients, staff, volunteers, and the public in a respectful, cooperative and friendly manner.
  • Proactive, energetic and with a positive attitude to work and life.
  • Strong interest in the entrepreneurial sector.
  • Excellent organizational, planning and implementation skills with the ability to pay close attention to detail.

Salary: $21.00 – $23.00 depending on experience. After a successful probationary period of 3 months, group benefits may form part of the salary compensation.
